How to Write a Clear RFQ for Global Sourcing
A useful request for quotation does more than ask for a price. It gives each potential supplier the same starting point, so the buyer can compare what is included, identify open questions and decide which offers deserve a closer review.
Whether you are sourcing chemicals, outdoor products or medical devices, start with a concise brief and a separate list of requirements that still need confirmation.
Describe the product before discussing price
Use a specific product name and attach the relevant specification, drawing or reference model. Separate mandatory requirements from preferences. If an alternative material, grade, size or design is acceptable, state what can change and what cannot. For regulated products, ask your qualified reviewer to define the documentation and destination requirements; a supplier quotation does not establish regulatory suitability.
Separate the first order from future demand
Give the initial order quantity and unit of measure. If you have a forecast, label it as an estimate rather than a commitment. Ask suppliers to identify their minimum order quantity, available quantity breaks and any conditions that would change the quoted price.
Make delivery and packaging comparable
- State the destination country and delivery location or port.
- Distinguish the date you need goods to arrive from the date they can leave the supplier.
- Describe pack sizes, carton quantities, labeling and any artwork requirements.
- Ask what freight, inspection and documentation costs are included or excluded.
Do not assume that two offers use the same delivery scope. Record the agreed commercial term and named place explicitly, and have any contractual questions reviewed by the appropriate specialist.
Ask for a structured reply
A simple comparison sheet can contain the specification offered, unit price and currency, quote validity, minimum quantity, sample arrangements, production lead time, payment proposal and unresolved items. Ask the supplier to highlight deviations instead of silently substituting a different specification.
Before shortlisting, return the same clarifications to each candidate where appropriate. A low headline price is difficult to evaluate if packaging, documents or delivery responsibilities remain undefined.
