A Better Way to Compare Supplier Quotations

A lower unit price is not automatically a better sourcing result. Buyers often compare quotations that use different pack sizes, delivery responsibilities or product specifications. A short, consistent comparison record helps reveal those differences before a purchase decision is made.

Start with one reference specification

Use the same product name, drawing, grade and revision for every supplier. Record any permitted alternatives separately. If a supplier proposes a substitution, ask the supplier to identify the difference rather than placing it silently in the price column.

Put commercial assumptions beside the price

For each offer, record currency, unit of measure, minimum order quantity, quote validity, payment proposal and what is included in the delivery scope. Note whether the price covers the requested packaging, inspection, documentation or transport leg. The purpose is not to force every supplier into one commercial model; it is to make the model visible.

Separate confirmed facts from estimates

Mark stock availability, production lead time and arrival timing as confirmed, estimated or awaiting review. Keep the requested arrival date separate from the date goods can leave the supplier. A schedule with clear dependencies is more useful than a single optimistic number.

Record quality and document questions

Ask what specification the sample, technical data sheet or test report represents. For chemicals and regulated products, route product suitability and destination requirements to the appropriately qualified reviewer. A document supplied with a quotation is evidence to assess, not a substitute for the buyer’s approval process.

Make the next decision easy

End the comparison with three short sections: strengths, open questions and next verification steps. This keeps the purchasing discussion focused and gives suppliers a fair opportunity to clarify their offer.
