Chemical Sourcing: Build a Clear Product Information Pack
Chemical sourcing discussions are more productive when the buyer and supplier are referring to the same product, grade and document set. A familiar trade name alone may leave important questions unanswered. Before comparing quotations, assemble a product information pack and clearly mark anything awaiting confirmation.
Start with product identity and the intended requirement
Record the product name, supplier product code, requested grade and specification revision. Include a CAS number where applicable, but do not use that number alone to define a mixture or a commercial grade. Share the relevant quality parameters and ask the supplier to identify any differences in the offered specification.
Describe the intended application sufficiently for an informed discussion without disclosing unnecessary confidential process information. The buyer’s technical team should determine suitability for its use.
Keep document purposes separate
- Specification or technical data sheet: ask which written requirements the offered product is intended to meet.
- Certificate of analysis: establish whether the supplied document is an example or relates to an identified batch, and agree what will be provided for the order.
- Safety data sheet: request the supplier’s applicable version and record its product identifier, supplier details and revision date for specialist review.

Define the packaging question early
State the quantity, preferred pack size, destination and delivery requirement in the enquiry. Ask the supplier to describe its proposed packaging and identify any matters that require confirmation by qualified transport or regulatory specialists. A commercial enquiry should not assume a product’s transport classification, permitted route or packaging approval.
Create one list of unresolved items
Keep a short register with the question, responsible person, document requested and expected response date. Typical items include an unclear grade description, an outdated document, a missing batch reference or inconsistent product names across attachments. Resolve the relevant gaps before treating quotations as directly comparable.
